How It Works

A transparent, step-by-step process — from your first call to a funding decision.

01

Book a Free Consultation

We start with a 30-minute call to understand your organization, goals, and funding history. No commitment required.

We'll ask about your sector, size, province, recent revenues, and what you're trying to fund — this gives us what we need to run a preliminary scan.

02

Profile & Eligibility Review

You complete a structured onboarding form in our secure client portal. We use this to build your eligibility profile.

Our system cross-references your profile against program criteria — flagging disqualifiers early, so we don't waste time on programs you won't qualify for.

03

Grant Matching Report

Within 3–5 business days, we deliver a curated list of grant opportunities ranked by fit, deadline, and effort required.

Each match includes a confidence score, rationale, known risks, and a checklist of what you'd need to apply. You decide which ones to pursue.

04

Application Execution

For each grant you want to pursue, we manage the full application process — writing, document collection, and submission.

You'll have a dedicated case in our portal where you can track progress, upload documents, review drafts, and communicate with our team.

05

Submission & Decision Tracking

We submit on your behalf (where permitted) or guide you through self-submission, then track the application to a decision.

We log all communications with funders and keep your portal updated. If a decision is delayed, we follow up proactively.

06

Post-Award Reporting

If you're awarded funding, we help you meet reporting obligations and set up for the next funding cycle.

Many grants require progress reports, financial statements, or outcome data. We help you stay compliant and build a track record for future applications.

Important Expectations

  • Grant approval is at the sole discretion of the funding body. Optigrants does not guarantee outcomes.
  • Processing timelines vary by program — some decisions take 3 months, others 12+.
  • We do not provide legal or accounting advice. We recommend consulting qualified professionals for complex eligibility questions.
